Hotels R Us International Ltd
TERMS OF BUSINESS
Effective date: 01 July 2026
Hotels R Us International Ltd - B2B travel-agent bookings.
Parties, scope and status
These Terms of Business apply to bookings made through the business-to-business website operated by Hotels R Us International Ltd, a company registered under the laws of the United Kingdom with company number 15088489 and registered office at 166 College Road, Harrow, Middlesex, England, HA1 1BH ("HRUS", "we", "us" or "our").
Bookings on this website may only be made by travel agents acting in a business-to-business capacity under a signed commercial agency agreement with HRUS (the "Agency Agreement"). Each booking is governed by the Agency Agreement and these Terms of Business. If there is a conflict, the Agency Agreement prevails except to the extent it expressly provides otherwise for a particular booking.
By making a booking, you accept and agree to comply with these Terms of Business. Failure to comply with these Terms of Business or the Agency Agreement may result in suspension or revocation of access to the website, in addition to any other contractual or legal rights HRUS may have.
When making a booking and receiving payment from the traveller or other end customer (the "Customer"), you act as HRUS's sub-agent (the "Sub-Agent", "you" or "your"). "Product" means the accommodation and any ancillary service expressly included in the booking. "Service Provider" means the hotel, accommodation provider or other principal supplying the Product.
The Service Provider contracts with the Customer to provide the Product. HRUS acts as the Service Provider's booking agent and may accept or reject, on the Service Provider's behalf, the Customer's offer to buy the Product. HRUS is responsible for its own booking-agent services but is not responsible for the Service Provider's performance of the Product, except where liability cannot lawfully be excluded. The Service Provider's terms are available on request and must be supplied to the Customer where required.
1. Package travel responsibilities
If the Sub-Agent combines or sells a Product as part of a "Package" or "Linked Travel Arrangement" under the Package Travel and Linked Travel Arrangements Regulations 2018 (the "PTRs"), the Sub-Agent is responsible for determining and complying with its status and obligations under the PTRs. This includes acting as organiser where the Sub-Agent creates or sells the Package, or as facilitator where it facilitates a Linked Travel Arrangement and putting in place any required insolvency or financial protection for Customer payments received by the Sub-Agent.
HRUS supplies Products to the Sub-Agent on an accommodation-only, B2B basis and does not intend to combine or sell them in a manner that makes HRUS the organiser of a Package or facilitator of a Linked Travel Arrangement. Nothing in these Terms overrides any status or duty imposed by mandatory law; the legal character of a transaction depends on the facts and how the Sub-Agent sells it.
A complimentary airport transfer included by a hotel or accommodation provider as part of an accommodation booking is supplied as part of that accommodation Product and is not presented by HRUS as a separately selected travel or tourist service. The Sub-Agent must assess the PTR position if it markets, prices or combines that transfer separately.
2. Payment
The Customer must pay the deposit stated at booking. The full balance must be received by HRUS no later than 14 days before the Product start date. If a booking is made within 14 days of the Product start date, payment in full is required at booking. The Sub-Agent is responsible for collecting Customer funds and paying HRUS in accordance with the Agency Agreement and these Terms.
After the booking requirements and payment conditions are satisfied, HRUS will send the Sub-Agent a voucher identifying the Service Provider. The Sub-Agent must send the voucher and all accompanying information to the Customer without delay. The voucher is evidence of the Customer's entitlement to use the confirmed Product, subject to these Terms and the Service Provider's terms.
If HRUS has not received full cleared payment by the balance due date, HRUS may, on behalf of the Service Provider, treat the booking as cancelled. Amounts already received may be retained and additional Service Provider charges passed to the Sub-Agent only to the extent permitted by the applicable cancellation terms, Agency Agreement and law. If HRUS has not received full payment, the Product will not be provided unless the outstanding amount is paid and the Service Provider reconfirms availability.
3. Changes or cancellations requested by the Sub-Agent
Change and cancellation requests must be submitted through the method stated in the booking confirmation. They are subject to availability, the Service Provider's terms and any charges disclosed at booking or before the Sub-Agent confirms the change. The Sub-Agent must communicate all resulting terms, charges and revised documents to the Customer without delay.
The rate-specific cancellation policy shown before booking and recorded in the confirmation applies. Non-refundable Products may be charged at 100% from booking. HRUS may recover a disclosed administration fee and any Service Provider charge in accordance with the Agency Agreement.
4. Changes or cancellations by the Service Provider
HRUS will tell the Sub-Agent as soon as reasonably possible of a change or cancellation notified by the Service Provider. The Sub-Agent must pass that information to the Customer without delay.
If the Service Provider offers an alternative Product or refund, it may specify a response deadline. The Sub-Agent must obtain and communicate the Customer's choice within that period. If HRUS receives no reply in time, HRUS may, on behalf of the Service Provider, treat the Customer as having selected a full refund, where that is the option specified in the notice. HRUS is not responsible for loss caused by the Sub-Agent's failure to communicate or respond promptly.
5. Sub-Agent duties
The Sub-Agent must provide accurate booking information; obtain the Customer's authority to book and disclose personal data; give the Customer these Terms where relevant, the Service Provider's terms, voucher and all material pre-contract information; explain cancellation, payment, occupancy, entry and local-charge requirements; maintain appropriate records; and comply with the Agency Agreement and all applicable travel, consumer, advertising, sanctions and data-protection laws.
The Sub-Agent must not alter HRUS or Service Provider content, make unauthorised representations, use the website for speculative or fraudulent bookings, or hold itself out as having authority beyond that granted by the Agency Agreement.
6. Privacy and personal information
To make and administer a booking, the Sub-Agent must provide Customer personal data to HRUS. HRUS will pass necessary data to the Service Provider and relevant service providers so the Product can be fulfilled, payments processed, fraud prevented and legal obligations met.
HRUS and the Sub-Agent each act as controllers for the Customer personal data they process for their own respective purposes, unless the Agency Agreement or applicable law provides otherwise. Each party must provide required privacy information, establish a lawful basis, implement appropriate security, assist with rights requests and comply with the data-protection provisions of the Agency Agreement.
HRUS's Privacy Policy explains how HRUS processes and protects Customer personal data. The Sub-Agent must direct Customers to that policy before or when their data is collected.
7. Complaints
HRUS is responsible for making the booking in accordance with the Sub-Agent's instructions accepted by HRUS. The Customer's Product contract is with the Service Provider and the Service Provider's terms apply. Complaints about the Product should be raised with the Service Provider in resort or at the property as soon as possible, with HRUS also notified where assistance is required.
The Sub-Agent must help the Customer follow the complaints process and preserve supporting evidence. HRUS will ensure that the Service Provider's available contact details are provided to the Customer if they are not already printed on the voucher. HRUS will investigate complaints relating to its own booking-agent service.
8. City taxes and resort fees
City, tourist and similar local taxes are generally not included in advertised prices unless expressly stated and may be payable by the Customer locally. Some hotels, particularly in the United States, charge resort, destination, facility or similar fees for access to facilities or services.
The Sub-Agent must advise the Customer before booking of additional local charges disclosed by HRUS or the Service Provider and must repeat them in the Customer's documentation where appropriate. Local authorities and Service Providers may introduce or change charges after booking; HRUS will pass on material information received but does not control those charges.
9. Group and MICE bookings
A reservation for three rooms or more is a group booking and is always on request. The Sub-Agent must contact HRUS at Admin@hotelsrus.co.uk before confirming availability to the Customer. Group terms, deposits, prices and cancellation rules may differ.
The Service Provider may review, re-rate or reject a booking identified as MICE (meetings, incentives, conferences or exhibitions) that was not requested and contracted under the correct category. The Sub-Agent must disclose the true nature and purpose of the booking.
10. Pricing and residency
Unless otherwise stated, Products displayed by HRUS are offered for sale for UK-resident Customers. The Sub-Agent must ensure that every person for whom the price is restricted satisfies the stated residency or market requirement. Enquiries for non-UK residents must be sent to Admin@hotelsrus.co.uk. Failure to satisfy a disclosed restriction may lead to refusal of check-in, re-pricing or local charges imposed by the Service Provider.
HRUS may change unbooked advertised prices at any time and correct display errors. For a confirmed booking affected by a genuine pricing error, HRUS may cancel for a full refund, offer the Product at the correct price or propose a suitable alternative. The Sub-Agent is not required to accept the corrected price or alternative.
11. Hotel ratings and room types
HRUS uses official accommodation ratings where available. A rating may change following information from the Service Provider or relevant rating body. Florida-villa ratings and any expressly identified HRUS classifications are guides based on supplier advice, location, quality and facilities. Standards and rating systems vary by country and supplier, and HRUS does not guarantee equivalence between them.
Room names describe intended occupancy and typical configuration, not guaranteed bed arrangements or floor area. The Service Provider controls allocation. The Sub-Agent must check the Product description and select a suitable room type for the Customer.
| Room type | Typical description |
|---|---|
| Single | For one person; may contain one or more beds. |
| Double/Twin | For two or more people; may contain a double bed or twin beds and, where stated, an additional sofa or rollaway bed. |
| Double | Usually contains a double bed; additional bedding may be supplied where stated. |
| Twin | Usually contains two separate beds; additional bedding may be supplied where stated. |
| Triple | For up to three people; may use a double or twin beds plus a sofa, rollaway or other additional bed. |
| Apartment | Usually includes a living area, kitchen or kitchenette, bathroom and one or more sleeping areas; sofa beds may provide additional capacity. |
| Studio | Usually an open-plan living and sleeping area with kitchen or kitchenette, bathroom and possible sofa or rollaway bed. |
12. All-inclusive Products
Unless the Product description says otherwise, an all-inclusive entitlement begins at check-in and ends at check-out. Meals or services missed because of arrival or departure time are not carried forward or provided after check-out.
Destinations or Service Providers may impose lawful restrictions on the availability, timing or quantity of alcoholic drinks. The Sub-Agent must communicate restrictions disclosed in the Product description or later notified by HRUS. Further information may be requested before booking.
13. Errors and omissions
HRUS takes reasonable care over website content, but price, Product or description errors may occur. HRUS will correct material errors and notify affected Sub-Agents as soon as reasonably possible. In the case of a genuine error, HRUS may cancel for a full refund, offer the booking at the correct price or offer a suitable alternative. The Sub-Agent may reject the corrected price or alternative and receive the refund offered for the affected booking.
Nothing in this clause excludes liability for fraudulent misrepresentation or any liability that cannot lawfully be excluded.
14. Accuracy and availability of facilities
Facilities and services may be withdrawn or restricted because of maintenance, low occupancy, seasonality, local conditions or operational decisions. Room images are illustrative and may not show the allocated room. HRUS will pass on material information it receives about building works or other changes that may significantly affect the Product but does not control works undertaken by third parties.
The Sub-Agent must ensure the Customer understands that minor differences may occur, while promptly escalating any material discrepancy or misleading description to HRUS.
15. Passports, visas and entry requirements
The Sub-Agent is responsible for ensuring that the Customer is told to check all applicable passport, visa, immigration, health, transit and entry requirements using current official sources and in sufficient time before travel. The Sub-Agent must not rely on outdated generic guidance.
Subject to any liability that cannot lawfully be excluded, HRUS is not responsible for loss caused by the Customer's or Sub-Agent's failure to comply with applicable requirements or to communicate them accurately.
16. Liability and indemnity
Each party remains responsible for its own acts and omissions. HRUS does not accept responsibility for the Service Provider's provision of the Product merely because HRUS acted as agent. No term excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any liability that cannot lawfully be excluded.
Any indemnity, financial cap or exclusion applicable between HRUS and the Sub-Agent is governed by the Agency Agreement. The Sub-Agent remains responsible for unauthorised promises, inaccurate Customer information, failure to remit payment and breach of its package-travel, consumer or data-protection obligations.
17. Suspension and termination
HRUS may suspend website access or refuse further bookings where reasonably necessary to protect systems, Customers, Service Providers or HRUS; investigate suspected fraud or misuse; respond to sanctions or legal requirements; or address a material or repeated breach. Termination and its consequences are governed by the Agency Agreement. Suspension does not affect accrued payment, cancellation or indemnity obligations.
18. Law and jurisdiction
These Terms, the Agency Agreement and the relationship between HRUS and the Sub-Agent are governed by the law of England and Wales. Subject to any dispute-resolution provision in the Agency Agreement, the courts of England and Wales have exclusive jurisdiction over disputes between HRUS and the Sub-Agent. This clause does not determine the law or jurisdiction applicable to the Customer's contract with the Service Provider.
19. General
If a provision is invalid or unenforceable, the remaining provisions continue in force. Failure or delay in exercising a right is not a waiver. The Sub-Agent may not assign or transfer its rights or obligations except as permitted by the Agency Agreement. These Terms do not grant rights to a customer or Service Provider under the Contracts (Rights of Third Parties) Act 1999 unless expressly stated.
